AI Agents & Business Process Automation

Give your teams a shorter route from incoming work to an approved outcome. We engineer agent-assisted workflows around the systems, exceptions and responsibilities your business already has.

Overview

Business process automation coordinates the work between people and software. AI agents extend it to tasks that involve interpreting documents, understanding requests or selecting a permitted next step. Amaryllis Polska combines process analysis, application engineering and QA to turn those capabilities into an operational workflow.

The business case usually sits between applications: staff read an email, consult a record, open a document, ask a colleague and update another system. Adding a conversational interface leaves much of that work untouched. We examine the complete path, including the cases that need specialist judgment, before deciding where an agent belongs.

Where this can help

Illustrative applications, not claims about completed client projects.

Service operations

An inbound request becomes a proposed resolution, with the relevant account context and a clear route for exceptions. The service team reviews uncertain cases and retains authority over consequential commitments.

Commercial administration

An assistant gathers approved account information and prepares a handover, proposal brief or follow-up task. Sales and operations teams can review the output before it reaches a customer.

Document-led processes

Incoming business documents are classified and checked against a defined checklist. Missing information becomes a task for the right person, while validated information is prepared for the downstream application.

What we can deliver

Process design
A process map, exception categories, user responsibilities and a definition of what the system may do.
Agent implementation
Task instructions, tool connections, execution state and rules for handing work back to a person.
Release evidence
Representative evaluations, failure scenarios and a record of the conditions used for acceptance.
Operational handover
Runbooks, monitoring requirements and ownership for changes to prompts, tools and business rules.

Engineering considerations

Reliable automation needs a durable record of progress. A workflow should distinguish an attempted action from a completed one and recover from an interrupted dependency. We design timeout handling, escalation and duplicate prevention around each connected system. An agent does not receive unrestricted database credentials: tools expose a bounded set of operations and the application enforces authorization.

Working with EU and US teams

For European and US buying teams, the first scope should identify the process owner, IT sponsor and approver of the production release. We agree the working language, documentation format, review cadence and required meeting overlap. Requirements for personal data, model providers and hosting location are recorded before selecting the implementation. Working with a Polish supplier does not, by itself, determine where model processing takes place.

A practical first engagement

A useful pilot follows a narrow but complete workflow, including an exception and a human handoff. We agree a baseline with the process owner, select evaluation samples and define a stop condition if quality is insufficient. The release decision uses accepted work items, staff rework and total operating expense. A successful demonstration is evidence for the next step, not a substitute for production acceptance.

Evidence for the next decision

Accepted work
Which outputs meet the process owner’s criteria without unplanned rework?
Exception workload
How often does an operator intervene, and how long does that take?
Operating cost
What does an accepted item cost after model calls, integrations and human review?

Questions about this service

Which workflows are good candidates for AI agents?

Look for recurring work that combines text interpretation with actions in a small number of systems. A named owner, accessible examples and a clear acceptance rule make a first engagement easier to evaluate.

How do agents differ from RPA?

RPA commonly automates a defined sequence of interface actions. An agent can interpret variable input and request a tool action. They can be combined, but screen-based automation may remain sensitive to interface changes.

Can we require approval before an action?

Yes. Approval can be a formal workflow step with an assigned reviewer. We define what happens when approval is rejected, delayed or no longer valid.

How do we prevent the system from taking the wrong action?

There is no single perfect safeguard. We combine restricted tools, input validation, authorization, evaluations, monitoring and review of consequential actions. Residual risks are considered in the release decision.

What do you need for a proposal?

A description of the process, an estimate of its volume, the applications involved and an internal contact who understands exceptions. Anonymized examples help; credentials and sensitive records should not be sent through the enquiry form.
